Can an AI Chatbot on My Clinic Website Book Appointments?

Can an AI Chatbot on My Clinic Website Book Appointments?

October 24, 2026

Some can, many can't. Most website chatbots answer FAQs or collect a name and number for staff to call back. To actually book, the chat has to read your real schedule and either write the appointment to your EMR or send the patient to that exact time in your booking system. Here's how to tell them apart, and what to check for privacy in Canada.

Some can, many can't. Most website chatbots answer a few FAQs or collect a name and phone number for your staff to call back. To actually book, a chat has to read your real schedule, offer a time that's open, and then either write the appointment to your EMR after the patient confirms or send them to that exact time in your booking system. ZeroMiss Reply does that: directly in Juno EMR and OSCAR, by sending the patient to the exact time in Jane App, or with your own booking link for other software.

The four kinds of clinic website chat

TypeWhat it doesBooks?
FAQ chatbotMatches questions to a fixed list of answersNo; links to your booking page at best
Lead-capture chatCollects name, phone and reason, then emails staffNo; staff call back to book
Your booking system's own messagingLets patients message the clinic or book through its online booking pageThrough the booking page, yes; questions wait for staff
AI front desk chatAnswers from your approved information, reads real openings, books or sends the patient to the exact timeYes, if it's connected to your schedule

Checklist before you add one to your site

Where do patients type their name and birth date?Somewhere private, not an open chat box the AI readsEncrypted secure fields in a private chat on the patient's phone; the AI model never sees them
Where is data stored, and for how long?A country and a number of daysStored in Canada (Montréal); conversations deleted after 30 days
Can my staff take over?Live view and one-click takeoverYes, from the dashboard; the patient sees one continuous chat

How a ZeroMiss chat books a patient

  1. The patient taps Chat on your website and enters a mobile number.
  2. They get a private chat link by text. It works once and expires in 24 hours.
  3. The AI answers their questions from your information and offers times that are really open, searching ahead or across practitioners who offer the same service if the day they asked for is full.
  4. On Juno or OSCAR, the patient enters their name and birth date in secure fields and taps Confirm; only then is the appointment written to your EMR. On Jane, they land on that time in your Jane booking page and book there.
  5. Your team sees the whole conversation in the dashboard, and anything clinical or urgent goes to them.

Juno EMR and OSCAR connections go live once your EMR host approves access; until then the chat takes booking requests for staff. Details: which EMRs ZeroMiss can book into.

Frequently Asked Questions

Why not just a chat box on the page?

An open chat box on a public page is a poor place for names, birth dates and booking details. Moving the conversation into a private link on the patient's phone keeps those out of the web page and out of the AI model.

Will it replace our online booking page?

No. Patients who know what they want can keep booking there. The chat helps the ones who have a question first, and sends them to the same booking page or books for them.

Do we need the phone receptionist too?

No. Chat only, phone only, or both, for the same $199 a month per location.

Can it answer in other languages?

The chat can switch between English and Chinese for clinics that serve Chinese-speaking patients. Ask us about other languages.

Bottom Line

A website chat is only worth adding if it ends in a booking, keeps patient details private and answers only what you'd want answered. Ask any vendor the six questions above and expect specific answers.
