The technical setup takes days, not months. Entering your services and hours, connecting your calendar, choosing which calls the AI answers and testing it can all happen within a week. What usually takes longer sits outside the AI: your EMR host turning on access, and your own review of the privacy paperwork. A careful vendor runs everything in a test environment with made-up patients first and goes live only when you approve it in writing.
The steps, in order
- Tell the assistant about your clinic. Services, practitioners, hours, booking rules and the answers to common questions (parking, direct billing, what to bring). Every edit is versioned, so you can compare and restore an earlier version.
- Connect your booking calendar. For Jane clinics, you paste each practitioner's public booking link and calendar feed, and open times appear in a live week view. For Juno and OSCAR clinics, your EMR host enables API access and a clinic administrator approves ZeroMiss once. Some hosts also ask for our fixed outgoing IP address, which we provide.
- Choose which calls the AI answers. All calls, only unanswered ones, or only after hours. You keep your number and your phone system.
- Set call protection. Blocked numbers, a limit on repeated calls per hour, and quiet hours are checked before the assistant greets anyone. Spam and silent calls aren't counted as patient interactions.
- Choose who gets notified. Email alerts for calls, requests and new bookings, which say only that something is waiting in the dashboard, never a patient's details.
- Test it yourself. Everything above runs in a separate Test environment with made-up patients, and every dashboard page shows a TEST or LIVE bar. You make a call, send a text and complete a booking on your own phone.
- Review and approve the privacy package. Ontario clinics sign a services agreement with our PHIPA Compliance Package as its schedule. Before any real patient reaches the service, you also receive our certificate of insurance and the results of our tests that check one clinic can't reach another's data.
- Go live. Your settings move from Test to Live as they are, and real calls start reaching the assistant.
Waiting on your EMR? You don't have to. In requests-only mode the assistant answers calls and questions and turns every booking, move or cancellation into a request in the dashboard for your team. When the EMR connection is ready, you switch to direct booking.
What decides how long it takes
| Factor | Faster | Slower |
|---|---|---|
| Booking system | Jane with online booking on; calendar feed links at hand | An EMR whose host has to enable API access or allow our IP |
| Clinic information | Services, prices and FAQs already on your website | Rules that live only in staff members' heads |
| Privacy review | A privacy lead who can review and sign | Waiting for a lawyer's or advisor's calendar |
| Phone routing | A phone system where you can set call forwarding yourself | Routing changes that need your phone provider |
Why we don't skip the test step
Some AI receptionist services go live the moment you forward your line. That's fast, but it means the first people to find a wrong answer are your patients. Testing with made-up patients first lets your team hear how the assistant handles your real services, rules and edge cases, and fix them before it matters. It also gives your privacy review something concrete to check.
Frequently Asked Questions
Do I have to change my phone number or phone system?
No. You keep your number and decide which calls reach the AI, for example only unanswered or after-hours calls. The assistant can also screen spam and repeated calls before it greets anyone.
Can the AI go live before my EMR is connected?
Yes. In requests-only mode the assistant answers calls, explains services and hours, and turns booking, rescheduling and cancellation requests into dashboard requests for staff, without touching the EMR. Switch to direct booking when the connection is ready.
How much staff time does setup take?
Mostly a conversation about your services and rules, pasting calendar links, and a test on your own phone. We do the configuration; your team checks it and approves it.
Bottom Line
Setting up an AI receptionist is quick; setting it up properly takes a little longer, and that's worth it. Expect days for the configuration, plan for your EMR host and your privacy review, and insist on testing with made-up patients before your real ones ever hear it.
